Mint Ops

Dental Treatment Plan Follow-Up

They said yes in the room. Then nobody followed up.

Treatment that was presented and never booked is still waiting. We work through your outstanding treatment plans with professional, timely follow-up calls, made by dental professionals under your clinic's number and logged inside your practice management software.

Mint Ops calls patients who accepted a treatment plan but never booked it, answers their cost and coverage questions, and books them into your software, from $2,250 a month.

Let's Talk

The problem

Accepted treatment is not booked treatment.

The hardest part of case acceptance already happened. The diagnosis was made, the plan was explained, the patient understood it and agreed. Then they walked to the front desk into a lineup, or they needed to check a schedule, or they wanted to talk it over at home first, and they left without a date. Nothing went wrong. The appointment never got made.

Those plans don't announce themselves afterward. They sit in your software as outstanding, quietly, alongside hundreds of others, and the only way anyone finds them is by going looking, which takes a person with time to look and time to call. By the time the patient returns for hygiene, months have passed, and the conversation has to start over.

Meanwhile the clinical picture doesn't hold still. A filling that was straightforward in March is a different conversation in November. Patients rarely connect the delay to the outcome, but your team does, and it's frustrating to watch it happen because nobody had twenty minutes to make the call.

In plain terms

What treatment follow-up is.

Every diagnosed treatment plan that was presented and never booked is sitting in your practice management software right now: the crown that was recommended, the perio program that was explained, the extraction the patient said they'd think about. That unscheduled treatment list is care your dentist already prescribed and work your clinic has already been trusted to do. Follow-up is the work of going back to it.

Patients rarely decline treatment outright. They stall over money, fear, or a life that got busy the week after the appointment. What re-starts a stalled decision is usually modest: a timely, unhurried call, without pressure, from someone who can answer the real questions about cost, insurance coverage and what happens if it waits. Some plans convert on one conversation. Others need the question answered and time. Both outcomes are fine; what fails patients is silence.

The mechanics are a steady rhythm: the unscheduled list worked consistently, every conversation logged in your software, sensitivity to what your own team already handles in-house, and plain reporting on the numbers. Follow-up outcomes vary by treatment type, so this service carries no guarantee. Our 10x guarantee covers hygiene recall only.

A good treatment coordinator could run everything above. If you have someone with the hours for it, let them. Most clinics do not. Recovering unscheduled treatment is patient, repetitive work that never becomes urgent enough to beat whatever is standing at the desk that morning.

The service

The call that turns a yes into a date.

We work through your outstanding treatment plans and call the patients behind them during the day, in the evenings and on weekends, when people are home and able to talk about a decision. The scope is set with you: which plans, how far back, and what your team has already handled in-house, so we're never duplicating a conversation your treatment coordinator just had.

Your clinic's number appears on every call, and callbacks reach your team. Appointments go straight into your practice management software (MaxiDent, Dentrix, ClearDent, Curve, ABELDent, Tracker, and other major Canadian platforms), and every outcome is logged in the patient record, so your treatment coordinator can see where each plan stands without asking anyone.

The people making these calls have spent at least ten years inside dental clinics. On a treatment call that matters. Patients who haven't booked usually have a reason: cost, timing, a question about what their plan covers, or a worry they didn't raise in the operatory. Someone who has answered those questions thousands of times can answer them again and book the appointment in the same call.

Treatment outcomes vary by treatment type and by what your team has already pursued. Our 10x guarantee applies to hygiene recall only.

Questions

Asked before you ask.

How is this different from recall?

Recall brings patients back for hygiene. Treatment follow-up is about work that was diagnosed, presented and accepted, then never scheduled. Different list, different conversation. A patient who said yes to a crown six months ago needs a different call than a patient who is due for a cleaning.

Do you have a guarantee on this service?

No. Our 10x guarantee covers hygiene recall only, because that's where the math is clear. Treatment outcomes vary by treatment type, by cost, by how much your team has already pursued in-house, and by what the patient is weighing. We won't put a number on that.

Won't patients feel pressured?

They shouldn't, and that's a matter of who's calling. These are patients who already said yes, so the call is a follow-up on a decision they made. Dental professionals who've had this conversation thousands of times know the difference between a reminder and a push.

Which treatment plans do you work through?

We scope that with you during onboarding. Some clinics want everything outstanding worked; others want us focused on specific treatment types, a value threshold, or a date range. What your team has already pursued in-house matters too: we don't want to call a patient your treatment coordinator spoke with last week.

What happens to plans that have gone stale?

Treatment presented two years ago may no longer reflect what the patient needs. In those cases we book the patient in for a re-examination rather than scheduling work off an outdated plan.

Where does the information end up?

In your practice management software: MaxiDent, Dentrix, ClearDent, Curve, ABELDent, Tracker, and other major Canadian platforms. Every call is logged in the patient record with the outcome, so your treatment coordinator can see exactly where each plan stands without asking anyone.

Can we run this without the other services?

Yes. Treatment management is one of five Remote Administration services and each engagement is scoped individually. That said, most clinics find recall and treatment follow-up work well together: the two lists overlap, and one call often surfaces the other opportunity.

Pricing

From $2,250/month

What treatment management costs.

Treatment management starts at $2,250 a month on a six-month commitment. Where your clinic lands above that depends on the size of the list we are working and whether this service runs on its own or alongside the others.

Month one is setup and learning when your patients answer. By month three, results are steady enough to plan around. Six months is long enough for the months after that to compound. After six months it continues month to month, and either side can end it with 30 days’ written notice. You get your number in the first conversation, before anything is signed.
