Mint Ops

Remote dental administration: the outbound calls and follow-up your front desk can’t get to.

Your patients aren’t coming back on their own. We’ll call them, so your team doesn’t have to.

Mint Ops Remote Administration is a Canada-based team of dental professionals who make your clinic’s outbound calls (recall, treatment follow-up, insurance verification, payment reconciliation and patient balances) under your clinic’s number, with each service priced on its own from $1,500 a month.

Most clinics have a recall problem they don’t fully see: patients who are overdue because nobody called them. Your front desk is managing check-ins, phones, payments, and walk-ins at the same time, and outbound calling is the first thing that gets dropped.

We don’t answer your phones or run your front desk. We make the outbound calls and do the follow-up work that falls behind when the front desk is busy.

Let’s Talk →

The day is full. The calls don’t get made.

Every dental clinic has two realities running at the same time. The first is the one you see: patients in chairs, procedures completed, a team working through the day. The second is the one that doesn’t show up on any report until it’s already cost you: the patients who are overdue and haven’t heard from anyone.

The hygiene appointments that should have been booked three months ago. The treatment plans that were presented, accepted in the room, and never followed up on. The insurance payments that came back short, and the patient balances nobody called about.

Most overdue hygiene patients haven’t left your clinic. See how recall management brings them back.

Your team meant to make those calls, between the phones, the walk-ins, the billing questions and everything else a front desk absorbs in a single day.

Outbound calls need hours your front desk can’t spare, often in the evenings and on weekends, when patients answer. That’s where we come in: we make the calls that keep getting pushed to tomorrow.

Most patients want to come back. The chairs are empty because nobody called.

What remote dental administration is.

Remote dental administration is your outbound calling, done by dental professionals who are not in your building.

We are a team of dental professionals making outbound calls on behalf of your clinic. We have worked in dental offices, we understand how a hygiene schedule works, and we know what to say when a patient asks about their treatment plan or their insurance.

We call during the day, in the evenings, on weekends and on holidays. We log everything in your practice management software so your team always knows where things stand. Your front desk keeps the phones and the patients in the clinic. We take the outbound calls and the follow-up.

Your phone number appears on every call we make. When patients call back, they reach your clinic directly. As far as your patients are concerned, they heard from you.

10+years dental experience per team member
3languages: English, French, and Arabic
7days a week: evenings, weekends and holidays

Five services. One team. All dental.

We handle the outbound calls and follow-up that keep your clinic running at capacity, in five areas where consistent follow-through directly affects your revenue and your patient relationships.

01

Recall Management

Hygiene is the heartbeat of your clinic. When recall slips, everything downstream feels it: production, patient retention, and the clinical relationships your team has spent years building. We contact your overdue hygiene patients consistently, professionally, and on a schedule that reaches them. Our recall service carries a 10x return on investment guarantee, on hygiene recall specifically, because it's the area where the impact is most direct and most measurable.

10x ROI guarantee applies to hygiene recall only.

02

Treatment Management

Treatment that was presented and never booked is still waiting to be scheduled. Patients who left without booking often had every intention of following through. Life gets in the way. A timely, professional follow-up call is frequently all it takes. We work through your outstanding treatment plans with the understanding that outcomes vary depending on treatment type and what your team has already handled in-house.

Outcome varies by treatment type and in-house scope.

03

Insurance Verification

Unverified insurance is one of the most reliable sources of front-desk friction and billing delays. We verify patient coverage before appointments so your team can walk into every visit with accurate information and your billing process doesn't stall after the fact.

04

Insurance Payment Reconciliation

Payments that don't reconcile become a backlog that compounds. We work through outstanding insurance payments methodically, so your accounts stay current and your team isn't managing a growing list of unresolved claims alongside everything else.

05

Patient Accounts Receivable

Outstanding patient balances are a conversation most clinics delay longer than they should. We handle that conversation professionally and consistently, preserving the patient relationship while moving balances toward resolution.

Getting started is straightforward. What comes after is where the consistency begins.

01

Discovery Call

We start with a conversation about your clinic: your software, your patient base, your priorities, and what's been falling through the cracks. It gives us the information we need to represent your clinic properly from day one.

02

Setup & Onboarding

We get access to your practice management software, align on call protocols and wording, and establish exactly how we communicate with your team. Everything is configured before we make a single call on your behalf.

03

We Get to Work

Our team begins outbound calling under your clinic's name for whichever services are in scope: recall, treatment follow-up, insurance verification, reconciliation or patient balances. Your team keeps running the clinic and the front desk. We run the outbound work in the background.

04

Monthly Reporting

Every month, we report on what was done, what it produced, and what we're adjusting. You see exactly what the service is delivering. Nothing is opaque, and nothing is measured against a metric we didn't agree on together.

Your number. Your software. Experienced dental callers.

Evening, weekend & holiday calling

We call in the evenings, on weekends and on holidays as well as during business hours, so we reach patients when they answer.

Your clinic's caller ID

Every call displays your clinic's phone number. Callbacks go directly to your team. As far as your patients are concerned, they heard from you.

Ten years minimum per team member

Every member of our calling team has a minimum of ten years of dental experience. They learned the terminology and the patient conversations in dental clinics.

Works inside the software you already use

MaxiDent, Dentrix, ClearDent, Curve, ABELDent, Tracker, and others. We work inside your existing system, so there is nothing new to adopt.

English, French, and Arabic

We currently call in three languages. If a significant portion of your patient community speaks another language, we'll hire for it.

Your patient data gets cleaner

Working a list means opening every relevant record. Wrong numbers, duplicates, stale addresses and out-of-date insurance details surface because someone is finally looking at them, and they get corrected as we go. Whichever of the five services you start with, you end the month with a cleaner database than you started with.

Monthly performance reporting

Every month you receive a clear report on what was done and what it produced. No opaque metrics. No guessing.

10x

ROI guarantee on hygiene recall.

We guarantee a 10x return on investment on hygiene recall, because it’s the area where the math is clearest and where we’re confident enough to stand behind a number.

Our other four services, treatment follow-up, insurance verification, insurance payment reconciliation and patient accounts receivable, carry no guarantee. They produce measurable results, but too much of the outcome depends on things outside our calls to put a number on it.

10x ROI guarantee applies to hygiene recall only.

What each service costs.

Run one service or run all five. Each is priced on its own, so you are not buying a bundle to get the one you need.

ServiceStarting Price
Recall Management →From $1,800/mo
Treatment Management →From $2,250/mo
Insurance Verification →From $2,100/mo
Insurance Payment Reconciliation →From $1,500/mo
Patient Accounts Receivable →From $1,500/mo

Every engagement runs on a six-month commitment, because the work performs better the longer we work with your clinic. Month one is setup and learning when your patients answer. By month three, results are steady enough to plan around. Six months is long enough for the months after that to compound. After six months it continues month to month, and either side can end it with 30 days’ written notice.

Where your clinic lands above a starting price depends on the size of the list we are working and how many services run together. We scope every engagement individually and price it accordingly. There are no packages designed to sell you more than your clinic needs.

In their own words.

Their Remote Administration is the best at what they do. Our hygiene bookings have increased significantly. Their services are easy to set up and implement, they simply dial in to your software and start working. Leave your front end staff to deal with patients, payments and insurance. Their Remote Administration will take care of all your recalls. Very happy we went with this service. Would recommend to all dental offices big or small.

Signal Hill Dental Centre

As a consultant myself, working with the Remote Administration for patient services has been a dream! Their systems and processes in optimizing the hygiene schedule, recall system, and insurance information is all done remotely and eliminates the need for an additional ADM person. Plus, the return on investment for these services can't be ignored. If you are finding that your recall system is failing, your hygiene days are consistently falling apart, consider hiring their Remote Administration! Done remotely and very efficient.

They have personally trained our staff one on one to maximize their potential. The ideas that they have helped to implement have improved the overall efficiency of our office. We started using Remote Administration and have noticed a vast improvement with our schedule and production in our clinics.

Dr. Taneshwar Chahal

It did not take long to see the difference. The staff at Mint Ops' Remote Administration is always professional and communicated well with our patients and team members. The Remote Administration team members have years of dental experience and understand how things are done. Recall settings within the practice management software helped to customize our system for our clinic protocols. Using the services of the Remote Administration division has proven to be a cost-effective way to get things done consistently while leaving more time for in-office staff to complete their daily tasks.

Ellis Dental

We have been using Remote Administration for years now and have found them to be professional and effective at accomplishing a task that is often not given the priority and attention it deserves. I have found that by using them I get a more consistent result and I don't need to worry about the engine that keeps the office going. This has proved very valuable to our office.

Everything you need to know.

We work with all major dental practice management platforms: MaxiDent, Dentrix, ClearDent, Curve, ABELDent, Tracker, and others. If you don't see yours on the list, ask us. We can provide a full compatibility list during our initial conversation.

Before we make a single call, we build a clinic manual specific to your practice. We document your scheduling preferences, how our calls should be worded, your patient communication protocols, and any nuances your team would want us to know. Our team trains on it. Then we begin calling across different times of day, different days of the week, and weekends, and we measure what produces results. By month two, we're calling in the windows where your patients answer. By month three, you start seeing consistent, predictable results. This is why we ask for a six-month commitment: the results build month over month.

Yes. Every member of our calling team has a minimum of ten years of experience working in dental clinics across Canada, in administrative or clinical roles. They understand your software, your terminology, and the conversations that come up because they've had them firsthand. They are all based in Canada.

Currently English, French, and Arabic. If a significant portion of your patient community speaks another language, we'll hire for it. Let us know what your clinic needs.

No. The 10x guarantee applies to hygiene recall only. That's where the math is clearest and where we're confident enough to stand behind a number. Treatment follow-up, insurance verification, insurance payment reconciliation and patient accounts receivable produce measurable results, but they carry no guarantee.

No, but there's an important step that makes this possible and keeps it legal. Before we call on your behalf, your clinic goes through a number verification process that formally authorizes us to display your phone number. This is a requirement under CRTC regulations. Without it, displaying your number would constitute spoofing, which is illegal in Canada and carries significant penalties. Once the verification is complete, every call we make shows your clinic's number and every callback reaches your team directly. The verification process is straightforward and we walk you through it during onboarding.

Each service is priced on its own, as a flat monthly fee on a six-month commitment. After six months it continues month to month, and either side can end it with 30 days' written notice. Recall management starts at $1,800 a month, treatment management at $2,250, insurance verification at $2,100, and reconciliation and patient accounts receivable at $1,500 each. Some competitors price per booking, which means your costs fluctuate month to month. We don't work that way. A flat fee means predictable costs and a team invested in your clinic's long-term performance rather than in individual bookings.

With a conversation. We'll ask about your clinic, your software, your patient base, and what's been falling through the cracks. From there we'll tell you exactly what we'd recommend and what it would cost.

It all starts with a conversation.

The mix of services that makes sense for your clinic depends on what’s happening inside it: your patient base, your software, your team, and where the gaps are.

Tell us about your clinic. We’ll tell you what we’d recommend and what it would cost.
